Privacy and terms

Kairo holds salon records, including the names and phone numbers of your walk-in clients. This page says exactly what is stored, who can reach it, how long it stays, and how to have it deleted.

Who runs Kairo

One developer in the Philippines, reachable by email.

Kairo is built and operated by an independent developer based in the Philippines, contactable at kairodesk@gmail.com. Kairo is not yet registered as a corporation or sole proprietorship. If that changes, this page will be updated with the registered name.

This policy follows the Data Privacy Act of 2012 (Republic Act 10173) and its implementing rules.

Two kinds of data, two different roles

Kairo owns your account data. Your salon owns your clients' records.

The distinction matters, because it decides who is in charge of what.

1. Your salon's account data

When you sign up, Kairo collects your email address, your salon name, and your license key. For paid plans, PayMongo also records your payment. Kairo is the controller of this data and decides how it is used.

2. Your clients' data

When your staff check a walk-in into the kiosk, Kairo stores that person's name, phone number, queue number, time in and out, services taken, amount paid, and visit history. Your salon is the controller of this data. Kairo only processes it on your instructions.

What your salon should tell its clients

The job of telling your clients that their name and number are being recorded sits with your salon, not with Kairo. A small sign at the counter is usually enough, for example:

"We record your name and number to manage the queue and your visit history. Ask us anytime to remove your record."

What is collected, and why

Nothing that is not needed to run a queue and bill a plan.

What Kairo never does with this data

Kairo never sells data, never shares it with advertisers, and never uses your clients' records to market anything. There is no advertising or tracking code on this website.

Who else touches the data

Five services, each one load-bearing.

Kairo runs on services that necessarily store or move the data. Each is used only to make Kairo work.

  • Supabase, the database where salon records are stored.
  • Cloudflare, which hosts this website and runs the software behind the dashboard and kiosk.
  • Resend, which delivers license key and reminder emails to your address.
  • PayMongo, which processes subscription payments and holds the card details Kairo never sees.
  • Google Drive and Sheets, used only when your salon exports reports to a spreadsheet. If you never export, nothing goes to Google.

Some of these providers store data on servers outside the Philippines. Where that happens, the data stays protected by that provider's own security and contractual commitments.

How long data is kept

Deleted means deleted, after a 30-day grace period.

  • Records you delete in the dashboard are hidden immediately, then permanently erased after 30 days. That window exists so an accidental deletion can be undone.
  • If a subscription lapses, the salon's data is preserved for 90 days so nothing is lost while you decide whether to renew. After 90 days locked, it is permanently deleted.
  • Signup records (email address and IP address) are kept indefinitely, for the single purpose of preventing repeated free trial abuse.
  • Payment records are kept as long as tax and accounting rules require.

Your rights

Ask, and you get an answer inside 15 working days.

Under the Data Privacy Act you may ask to see the personal data held about you, correct it if it is wrong, object to how it is used, ask for a copy of it, or ask for it to be erased. You may also complain to the National Privacy Commission.

If you are a client of a salon, not the owner

If a salon that uses Kairo holds your record and you want it removed, ask that salon directly. They control their own records and can delete your entry from their dashboard. If they need help doing it, they can contact Kairo.

Security

One salon can never read another salon's data.

Each salon's data is separated so one salon can never read another's. Access to your dashboard and kiosk requires your license key. Traffic to and from Kairo is encrypted. Card numbers are never stored by Kairo.

No system is perfect. If a breach ever affects your data, you will be notified, along with the National Privacy Commission, as the law requires.

Plans, payments, and refunds

Nothing auto-charges. Nothing is refundable, because the trial is free.

Kairo starts with a free 14-day trial that needs no card and charges nothing. The trial is how you decide whether Kairo suits your salon.

  • Paid plans are billed monthly or annually through PayMongo, and are non-refundable, because the free trial exists for evaluation.
  • There is no automatic charging. Nothing renews on its own. You choose to pay from your dashboard each time.
  • Extra branch slots are one-time purchases and are also non-refundable.
  • If Kairo charges you incorrectly, that is a billing error, not a refund request. Email us and it will be corrected.
  • You can stop using Kairo at any time. Simply do not renew. Your data stays available for 90 days if you change your mind.

Prices may change, but never for a period you have already paid for.

Changes to this page

The date at the top always tells you the truth.

If what Kairo collects or how it is handled changes, this page is updated and the date at the top changes with it. Significant changes affecting existing salons are sent by email.
